Email and Letter Structure

Reference page for Email and Letter Structure.

1.How this reference page is organised

This page is a cross-level reference for emails and letters. Its focus is on reusable structures, phrase banks, and checklists.

The basic logic is:

choose the medium
→ identify audience and register
→ set subject line or letter header
→ salutation
→ state the reason for writing
→ structure the main body
→ make the desired response clear
→ close
→ sign off

Not every message needs every element in equal detail.

2.Email and letter: the shared core

Email and letter differ as media, but they share the same communicative core:

Who is writing?
To whom?
Why?
What information matters?
What should happen next?

A good structure makes these five points quickly visible.

3.Clarify medium, purpose, and audience first

Before drafting, clarify:

email or letter?
informal, neutral, or formal?
one recipient or several?
information, request, complaint, confirmation, or invitation?

Purpose shapes the structure more strongly than text length alone.

4.Register: formal, neutral, informal

Register affects wording, salutation, sentence structure, and closing.

formal
→ Sehr geehrte Frau ...

neutral
→ Guten Tag Frau ...

informal
→ Hallo Anna,

Intermediate forms are common. The relationship between sender and recipient is decisive.

Sehr geehrte Frau Keller, vielen Dank für Ihre Anfrage.

Guten Tag Herr Braun, ich melde mich wegen unseres Gesprächs.

Hallo Lara, danke für deine schnelle Rückmeldung.

5.Keep Sie and du consistent

The form of address should remain consistent within a message.

Sie / Ihnen / Ihr
du / dir / dein
ihr / euch / euer

Switching mid-message usually looks accidental. When uncertain, follow the established relationship.

6.Subject line: short, specific, searchable

A good subject line states the central topic so the message can be found later.

Strong examples include:

Terminbestätigung 14. Oktober
Rückfrage zur Rechnung 4582
Unterlagen für Projekt Alpha
Anmeldung zur Veranstaltung

Generic subjects such as Frage, Wichtig, or Hallo are not very useful.

7.Do not change the subject unnecessarily in replies

If the reply belongs to the same matter, the subject line usually remains unchanged. This keeps the thread together.

A new subject is useful when a genuinely new topic or case begins.

8.Salutations in formal emails

Classic formal patterns include:

Sehr geehrte Frau Keller,
Sehr geehrter Herr Nguyen,
Sehr geehrte Damen und Herren,

If a specific person is known, a personal salutation is usually clearer than a generic one.

9.Neutral salutations

Many professional relationships use more neutral salutations.

For example:

Guten Tag Frau Keller,
Guten Morgen Herr Nguyen,
Hallo Frau Weber,

The best choice depends on the organisation, sector, and established contact style.

10.Informal salutations

In personal or collegial communication, shorter forms are normal:

Hallo Anna,
Liebe Anna,
Hi Max,

Liebe/Lieber is more personal than Hallo; Hi is clearly more informal.

11.After the salutation: lower-case continuation

When the salutation ends with a comma, the following German text normally begins with lower case unless the first word must be capitalised for another reason.

Sehr geehrte Frau Keller,
vielen Dank für Ihre Nachricht.

This is a typical interaction between text structure and German orthography.

Sehr geehrte Frau Meier, vielen Dank für Ihre schnelle Antwort.

Guten Tag Herr Özdemir, anbei finden Sie die aktualisierte Version.

Hallo Nina, ich melde mich wegen unseres Termins.

12.The first sentence: make the purpose visible immediately

After a brief polite opening, the reason for writing should become clear quickly.

Typical functions include:

respond to something
ask a question
send something
request something
clarify an appointment

Long openings without a clear purpose make orientation harder.

13.Referring to an earlier message

References help restore context quickly.

Useful patterns include:

thank you for ...
with reference to ...
as agreed ...
as announced ...
following ...

Bezugnehmend auf is more formal; wie besprochen is neutral and very common.

14.Using thanks appropriately at the opening

Thanks are a common and useful opening, but they should have a real reference point.

Instead of automatic Vielen Dank in every message, specify:

for your reply
for the documents
for the conversation
for the note
for your patience

Paragraphs help the reader recognise functions.

A robust pattern is:

paragraph 1 → purpose
paragraph 2 → key information
paragraph 3 → question or requested action
paragraph 4 → closing

In short emails, two functions may share a paragraph.

16.Present information in a logical order

This sequence often works well:

context
→ concrete information
→ consequence
→ requested response

The reader should not have to reach the end before discovering the actual point.

17.Formulate requests clearly

A request should be polite but unambiguous.

Typical patterns include:

Bitte senden Sie ...
Könnten Sie bitte ...?
Ich möchte Sie bitten, ...
Wären Sie so freundlich und ...?

The choice depends on register and the size of the request.

18.State deadlines and dates precisely

For appointments and deadlines, give the date, and where needed the time and time zone, unambiguously.

Better:

bis Freitag, 9. Oktober
am 14. Oktober um 10:30 Uhr
bis Ende dieser Woche

than vague wording such as soon or shortly.

Bitte senden Sie mir Ihre Rückmeldung bis Freitag, den 9. Oktober.

19.Make questions easy to see

If a message contains several pieces of information, the actual question should not be hidden.

Useful techniques:

separate paragraph
direct question
numbering if needed
clear deadline

This increases the chance of a complete response.

20.Number multiple questions

For several independent questions, a numbered structure is useful.

1. ...
2. ...
3. ...

This makes it easier for the recipient to respond point by point without missing anything.

21.Providing information

For purely informative messages, make clear whether a response is expected.

Typical phrases include:

Ich möchte Sie darüber informieren, dass ...
Zu Ihrer Information ...
Hiermit teile ich Ihnen mit, dass ...

Hiermit often sounds more formal than a direct modern formulation.

22.Writing confirmations

A confirmation should repeat the detail being confirmed so that no new ambiguity arises.

appointment
date
time
place
agreed service

Short confirmations may be very concise.

23.Making appointment suggestions

Good scheduling messages offer concrete options and leave room for an alternative.

Patterns include:

I could do ...
Alternatively ... would work.
Would either time suit you?
If not, feel free to suggest ...

24.Rescheduling an appointment

When rescheduling, include three things:

brief information
a concise reason if appropriate
a concrete alternative

A long justification is usually unnecessary.

25.Writing respectful cancellations

A cancellation or decline should be clear enough not to be mistaken for a vague acceptance.

Useful structure:

thanks or reference
clear decline
brief reason if appropriate
alternative or future option if available

26.Reminders and follow-ups

A reminder should provide context without sounding unnecessarily accusatory.

Patterns include:

I wanted to check whether ...
May I remind you about ...?
Is there already an update on ...?

If a real deadline exists, urgency may be stated more clearly.

27.Apologies in emails

A good apology states as specifically as possible what the apology is for.

for the delayed reply
for the short-notice change
for the misunderstanding
for the inconvenience

A solution or next step should follow where possible.

28.Describing problems factually

For problems, a useful sequence is fact, impact, requested solution.

What happened?
What consequence did it have?
What should be corrected?

Evaluations and assumptions should remain separate from verifiable facts.

29.Formulating complaints constructively

A complaint is clearer when it does not merely express dissatisfaction but requests a concrete remedy.

facts
→ impact
→ expectation
→ deadline if needed

A factual tone does not prevent a firm request.

30.Announcing attachments

Attachments should be mentioned when their purpose is not self-evident.

Typical phrases include:

anbei sende ich ...
im Anhang finden Sie ...
beigefügt erhalten Sie ...

Anbei is neutral to formal and very common.

31.Choose useful file names

File names contribute to the clarity of an email.

Useful examples include:

Projekt_Alpha_Zeitplan_2026-10-02.pdf
Rechnung_4582.pdf
Lebenslauf_Maria_Beispiel.pdf

Unclear names such as Dokument1_final_neu2.pdf make collaboration and archiving harder.

32.Sending a missing attachment afterwards

If an attachment was forgotten, a brief correction is usually enough.

apology
→ attach the missing file
→ brief reference

There is no need to repeat the entire original message.

33.Use CC and BCC deliberately

CC keeps recipients visible and usually signals that they should be informed. BCC hides recipient addresses from the other recipients.

To → responsible or directly addressed person
CC → relevant readers
BCC → hidden delivery where appropriate

Too many people in CC can blur responsibility.

34.Reply or reply all

Reply all is useful when the response is relevant to everyone involved. Otherwise a direct reply is often enough.

Before sending, check:

Who actually needs this information?
Who needs to act?
Who only needs to stay informed?

35.Add context when forwarding

A forwarded message should not arrive without comment if the recipient will not immediately know why it matters.

One or two sentences are helpful:

Why am I forwarding this?
What is relevant to you?
Is any action required?

36.Keep email threads readable

Long email threads quickly become hard to follow. A new reply should therefore make the current status visible.

Useful practices:

brief summary
clear new question
no unnecessary repetition
quote older details only when needed

37.Quote selectively rather than copying entire threads

When responding to one specific point, a short quotation can provide orientation. Entire previous messages should not be copied unnecessarily into the new text.

The goal is context without information overload.

38.Brevity without rudeness

Short emails can be direct. Politeness comes not from length but from appropriate salutation, clear wording, and respectful tone.

brief + clear + polite
≠
abrupt

Modal verbs and Konjunktiv II forms can grade requests.

können → practical, neutral
könnten → more polite, more distanced
dürfen → permission or polite introduction
möchten → wish or intention

Too much softening can make a simple request unnecessarily heavy.

Könnten Sie mir kurz mitteilen, welcher Termin Ihnen besser passt?

40.Balance directness and mitigation

A message can be clear and polite at the same time.

Too soft:

Perhaps it might possibly be possible ...

Clearer:

The recipient should be able to see what is actually expected.

41.Deliver negative news clearly but respectfully

Rejections, delays, or refusals should not be hidden behind long politeness formulas.

Useful structure:

brief context
clear negative information
reason where needed
alternative or next step

42.Bulleted lists in emails

Lists are useful for several items of the same type.

Good uses include:

documents
dates
tasks
requirements
open points

A single short sentence does not need a list.

43.Use emphasis sparingly

Bold or other visual emphasis can help with deadlines or central points. Too much emphasis, however, makes the text visually noisy.

In formal letters, restrained formatting is usually more appropriate than promotional styling.

Die wichtigste Frist ist der 15. Oktober.

44.Closing paragraph: the next step

The closing paragraph often answers: What happens now?

Typical functions:

request a reply
express thanks
offer availability
repeat a deadline
announce next contact

45.Formal sign-offs

The classic formal sign-off is:

Mit freundlichen Grüßen

Other variants are possible depending on context. In modern email, the name usually follows on a new line; the sign-off itself is not followed by a comma.

46.Neutral and modern sign-offs

Professional communication also uses more neutral forms:

Freundliche Grüße
Beste Grüße
Viele Grüße

Viele Grüße is generally less formal than Mit freundlichen Grüßen. Beste Grüße often falls in the neutral professional range.

Beste Grüße und vielen Dank für Ihre Rückmeldung.

Viele Grüße aus Berlin.

Freundliche Grüße und bis nächste Woche.

47.Informal sign-offs

In personal or familiar communication, possible sign-offs include:

Liebe Grüße
Viele liebe Grüße
Bis bald
Herzliche Grüße

The best choice depends on closeness and established habit.

Liebe Grüße und ein schönes Wochenende.

Bis bald und danke noch einmal.

Herzliche Grüße an euch beide.

48.Name and signature

The end of the message should make clear who is writing. In professional email, a signature block may include additional contact details.

first name + surname
role
organisation
phone
other relevant contact details

A very long signature should not dominate the actual message.

49.Use a postscript only deliberately

A P.S. can carry an additional personal note in informal messages. In formal emails, however, important information should not be moved into a postscript.

Central points belong in the main body.

50.The classic business letter: overall structure

A formal letter typically contains more visible metadata than an email.

sender
recipient
place/date
subject
salutation
body
sign-off
signature/name
attachments note if needed

Exact visual formatting may vary by organisation and template.

51.Sender and recipient details in a letter

Postal letters require unambiguous address details. Depending on context, these include name, organisation, street, house number, postal code, and city.

In business stationery, additional details may already be part of the template.

52.Date and place in a letter

In a letter, the date is shown visibly in the header area. The place may be added depending on the template.

For readability, the date format should be unambiguous. German texts allow both numerical and written-out forms.

Das Schreiben ist auf den 2. Oktober datiert.

53.Subject line in a letter

In a letter, the subject line stands between the address/date area and the salutation. It should identify the matter precisely.

Typical elements include:

customer number
invoice number
contract number
specific reason

The label Betreff: itself is not mandatory in modern layouts.

54.Salutation and body in a letter

The salutation follows the subject line, then the main text in clear paragraphs. The same principles as in email apply: state the purpose early, order facts logically, and make the desired response visible.

A letter may be longer, but it should not sound unnecessarily heavy.

55.Signature and attachment note in a letter

In a classic letter, the signature or name follows the sign-off. If documents are enclosed, an attachments note can be added at the end.

Anlagen:
– Vertragskopie
– Zahlungsnachweis

56.Reusable email framework

A universal email framework can look like this:

Subject: [specific topic]

[salutation],

[reference / purpose].

[main information in 1–3 paragraphs].

[question / request / next step + deadline if needed].

[brief closing].

[sign-off]
[name]

The framework should be shortened or expanded as needed, not completed mechanically.

57.Reusable formal letter framework

A robust formal letter framework is:

[sender]
[recipient]
[place, date]

[precise subject]

[salutation]

[purpose]
[facts]
[evaluation or consequence]
[request/demand/next step]

[sign-off]
[signature/name]

58.Reusable reply framework

For replies, this compact logic is useful:

thanks / reference
→ answer the concrete question
→ add information only if relevant
→ next step

When replying to several points, following the order of the original message can help.

59.Checklist before sending

Before sending, a quick check is worthwhile:

Is the recipient correct?
Does the subject line fit?
Is the form of address consistent?
Is the purpose immediately clear?
Are questions and requests unambiguous?
Are dates, deadlines, and numbers correct?
Are mentioned attachments actually attached?
Does the register fit?
Is the next step clear?
Are sign-off and name correct?

Sensitive or formal messages deserve an additional content review.

60.Common errors

1. No meaningful subject line

The recipient cannot identify the matter quickly.

2. Stating the purpose too late

The reader has to search unnecessarily for the point.

3. Mixing du and Sie

The form of address becomes inconsistent.

4. Hiding several questions in continuous prose

Some of them may remain unanswered.

5. Giving vague deadlines

Soon is not a precise date.

6. Mentioning an attachment but not attaching it

Check the attachment before sending.

7. Putting too many people in CC

Responsibility and information flow become unclear.

8. Hiding negative news behind long politeness formulas

Respect and clarity are compatible.

9. Making a formal letter unnecessarily bureaucratic

Formal does not automatically mean hard to understand.

10. Ending without a clear next step

The recipient then does not know whether or how to respond.

61.Summary

For email and letter structure, these points are central:

  • Email and letter share the same communicative core: sender, recipient, purpose, information, and next step.
  • Medium, purpose, and relationship determine register.
  • Sie, du, and their related pronouns should remain consistent.
  • A subject line should be short, specific, and searchable later.
  • Within the same matter, a reply usually keeps the existing subject.
  • Formal, neutral, and informal salutations differ in distance and tone.
  • After a salutation ending in a comma, German running text normally begins with lower case unless another capitalisation rule applies.
  • The purpose of a message should become clear early.
  • References such as wie besprochen, vielen Dank für, or im Anschluss an restore context.
  • One main idea per paragraph improves readability.
  • Information often works well in the order context → fact → consequence → requested response.
  • Requests should be polite but unambiguous.
  • Appointments and deadlines need precise details.
  • Multiple questions can be made visible through numbering.
  • Informational messages should make clear whether a response is required.
  • Confirmations repeat the detail being confirmed.
  • Appointment suggestions are easier to answer when they contain concrete options.
  • Rescheduling needs information, a brief reason where useful, and an alternative.
  • Declines should be clear and respectful.
  • Reminders restore context and state the relevant deadline.
  • Apologies are stronger when they name the specific issue.
  • Problems can be structured through fact, impact, and requested solution.
  • Complaints become more constructive when they request a concrete remedy.
  • Attachments should be announced and named clearly.
  • Forgotten attachments can be sent with a very brief correction.
  • CC and BCC should be used deliberately; the main addressee must remain clear.
  • Reply all is useful only when the response is relevant to everyone.
  • Forwarded messages often need brief context.
  • Long threads benefit from an up-to-date summary.
  • Selective quotation is clearer than unnecessary copying of old messages.
  • Brevity and politeness are compatible.
  • Modal verbs and Konjunktiv II help grade requests.
  • Excessive mitigation can make a simple request unclear.
  • Negative news should be respectful but not hidden.
  • Lists suit several items of the same type.
  • Visual emphasis should remain restrained.
  • The closing paragraph should make the next step visible.
  • Mit freundlichen Grüßen is a classic formal sign-off; neutral and informal alternatives depend on the relationship.
  • The name follows the sign-off, with a signature block where professionally useful.
  • Important information should not first appear in a postscript.
  • A business letter typically includes sender, recipient, date, subject, salutation, body, sign-off, and attachments where relevant.
  • Address and date information must be unambiguous.
  • A letter subject line should identify the matter precisely.
  • Formal letters should still remain logical and understandable.
  • An attachment note makes enclosed documents visible.
  • Reusable frameworks help, but should not be filled mechanically.
  • Before sending, check recipients, subject, names, numbers, deadlines, register, and attachments.
  • Good written communication therefore means making the purpose visible quickly, organising information for the reader, and formulating the next step unambiguously.

The core formula:

recipient + purpose
→ register
→ subject/header
→ salutation
→ reason
→ structured main body
→ action or response
→ closing
→ sign-off + name
